Recurring care visits

Set the care plan once. Every visit is booked.

A weekly lobby, a green wall every two weeks, a monthly breakout floor: give each client’s care plan its day, time and rhythm once, and FolioGreen puts every care visit on the Care Calendar, assigns your technicians and lets your client know.

A care plan, start to finish

Book the care plan. Watch the Care Calendar fill.

Here is one client’s weekly care, entered once. Each step is a field you fill in; the calendar and your client’s inbox do the rest.

  1. Pick the first visitIts date and time. The Care Calendar shows what else is already booked that day, so you see the load before you commit.
  2. Choose the rhythmWeekly, every two weeks, monthly, every two months, quarterly or every six months, ending after a number of visits or on a date.
  3. Assign the techniciansOne technician or several on the same visit.
  4. Every visit lands on the calendarEach care visit is its own record, created up front with the plan’s price and work copied in: visit 1 of 26, 2 of 26 and so on.
  5. Your client is toldWith the email on, your client learns which day the visit falls on, what time your technicians arrive and how often they’ll return.

When plans change

Move a one-off visit by dragging it.

A replacement drop-off has to wait two days for the plants to arrive. Drag the visit to its new day on the Care Calendar and it’s rescheduled.

  • Drag works for one-off visits; a care plan’s visits keep their rhythm.
  • Cancel a single visit, with the reason, and your client is told.
  • Visits already completed or invoiced are never touched.

Care plans

Regular care, set up once.

Interior plant care is recurring work. These are the parts of a care plan you set once and stop thinking about.

  • Each plan its own rhythm

Weekly lobbies, green walls every two weeks, quarterly reviews: each plan repeats on its own schedule.

  • An end you choose

After a set number of visits, or on a date: the length of the contract.

    Total visitsEnd date

  • Every visit its own record

Each visit is created up front with the plan’s price and work, so you can see the whole term and work on any one visit.

    Visit 3 of 26Completed

    Visit 4 of 26Scheduled

  • One proposal for the whole plan

Price the care plan once in a Care Proposal; when your client approves it, the full recurring plan is approved.

    How Care Proposals work
  • Cancel one, or stop the rest

Skip a single visit or end the plan from a date. Completed, paid and invoiced visits stay exactly as they are.

Cancel this visit onlyStop future visits

  • The right technicians

Assign one or several, and filter the Care Calendar by technician, client, status or dates.

Your client, kept informed

Your client always knows when you’ll be there.

With the email turned on, your client hears from you at each turn of a visit, without anyone writing a message.

  1. BookedThe date, the time and how often the visits repeat.
  2. StartedYour technician has arrived and the care visit has begun.
  3. CompletedThe visit is done.
  4. CanceledWith the reason, so nobody waits for a visit that isn’t coming.

Questions

About the Care Calendar

Is the Care Calendar working today?

FolioGreen launches soon. Recurring care visits, the calendar, technician assignment and the client emails are part of what it launches with; the scenes here are illustrations with an invented client.

Can a care plan run every two weeks, or every quarter?

Yes: weekly, every two weeks, monthly, every two months, quarterly or every six months, ending after a set number of visits or on a date.

What happens to past visits if I stop a plan?

Nothing. Stopping future visits leaves every completed, paid or invoiced visit exactly as it was.

Can two technicians share a visit?

Yes. Assign one technician or several to the same care visit, and each sees it in their week.

Does my client hear about every visit?

When you turn the email on, your client is told when a visit is booked, started, completed or canceled.
